Communications Representative

Pacific Eye Associates is a multi-specialty ophthalmology practice in San Francisco. The Communications team is usually the first person a patient talks to. We book their appointments, verify their insurance, and tell them what’s covered and what they’ll owe before they come in. Expect 20 to 40 calls on a typical day, and closer to 50 when it’s busy.
What you’ll do
- Schedule consults, vision exams, follow-ups, general ophthalmology visits, and urgent care with the right physician and specialty, based on what the patient needs and what their insurance covers
- Read clinical notes to work out what a patient should be booked for
- Confirm the patient’s address and insurance on every contact, and update EHR when anything has changed
- Verify eligibility, and make sure authorizations and referrals are on file before the visit
- Explain coverage and expected out-of-pocket costs to patients
- Answer questions about appointments and testing
- Route patient messages to triage or the right physician
What we’re looking for
- High school diploma or equivalent
- Clear on the phone and in writing, including with patients who are confused, anxious, or upset
- Careful with details. A wrong insurance ID or the wrong specialist means a wasted trip for the patient.
- Stays steady when it gets busy
- Works well on a team and takes feedback without getting defensive
- Cantonese, Mandarin, Spanish, or Russian preferred
- Experience with EHR, medical scheduling, or insurance verification is a plus, but we will train.
Physical requirement: sitting at a desk for up to eight hours a day.
